A guide to connecting, using, and removing the Zoom integration on DolphinParents.

Q. Adding the App (Connecting Zoom)?

1. Adding the App (Connecting Zoom)

Prerequisites

– A valid Zoom account (Zoom requires users to be 16 years of age or older)
– A DolphinParents account at app.dolphinparents.com
– Permission to connect apps in your Zoom account settings (check with your Zoom administrator if unsure)

Steps to Connect Zoom

  1. Go to app.dolphinparents.com and log in to your DolphinParents account
  2. In the left sidebar, click Settings
  3. Under Settings, select Connected Accounts
  4. Locate the Zoom row and click Connect
  5. You will be redirected to Zoom’s authorization page
  6. Review the permissions being requested and click Authorize
  7. You will be redirected back to DolphinParents
  8. The Zoom row in Connected Accounts will now show as Connected with a Disconnect button and your Zoom account email displayed

Troubleshooting

  • Make sure you are logged in to DolphinParents at app.dolphinparents.com before clicking Connect
  • Confirm you clicked Authorize on the Zoom permissions screen and did not close the window early
  • Ensure your Zoom account is active and in good standing

2. Usage

Once Zoom is connected, the following features are available across all session types on DolphinParents.

Feature 1 — Automatic Zoom Meeting Creation

  • Use Case: Schedule a tutoring, counseling, or coaching session and automatically generate a Zoom meeting link.
  • Prerequisites: Zoom account must be connected in Settings → Connected Accounts.
  • What Happens: When a session is scheduled and Zoom is selected as the video platform, DolphinParents automatically creates a Zoom meeting and displays the join link on the session detail page.

Feature 2 — View Zoom Join Link

  • Use Case: All session participants need quick access to the Zoom meeting join link.
  • Prerequisites: Zoom connected and session created with Zoom selected.
  • What Happens: The Zoom join link (Meeting URL) is displayed on the session detail page and is accessible to all invited participants.

Feature 3 — Reschedule Session

  • Use Case: Update the time of a scheduled session and keep the Zoom meeting in sync.
  • Prerequisites: An existing session with a Zoom meeting already created.
  • What Happens: When a session is rescheduled, DolphinParents automatically updates the associated Zoom meeting to reflect the new date and time. The join link remains the same.

Feature 4 — Cancel Session

  • Use Case: Cancel a scheduled session and remove the associated Zoom meeting.
  • Prerequisites: An existing session with a Zoom meeting already created.
  • What Happens: When a session is cancelled, DolphinParents automatically deletes the associated Zoom meeting. The join link is removed from the session detail page.

3. Removing the App (Disconnecting Zoom)

IMPORTANT: The only way to disconnect Zoom from DolphinParents is from within the DolphinParents app at app.dolphinparents.com. There is no Zoom Marketplace workflow required. Users do not need to visit the Zoom Marketplace to remove this integration.

Steps to Disconnect

  1. Go to app.dolphinparents.com and log in to your DolphinParents account
  2. In the left sidebar, click Settings
  3. Under Settings, select Connected Accounts
  4. Locate the Zoom row and click Disconnect
  5. Confirm the removal when prompted
  6. The Zoom row will return to showing a Connect button, confirming the integration has been removed

Implications of Disconnecting

  • DolphinParents will immediately stop creating or managing Zoom meetings on your behalf
  • Any previously created Zoom meeting links will remain in your Zoom account unless you manually delete them from Zoom
  • Your OAuth access and refresh tokens are permanently deleted from DolphinParents systems immediately upon disconnection
  • Your DolphinParents session history and records are not affected

Data Handling After Disconnection

  • OAuth access tokens and refresh tokens are permanently and immediately deleted from DolphinParents systems
  • DolphinParents will no longer access or interact with your Zoom account in any way
  • Session records within DolphinParents (dates, participants, notes) are retained as part of your standard account data
  • To request complete removal of your data from DolphinParents systems, email support@dolphinparents.com

You may also remove DolphinParents directly from your Zoom account:

  • Log in to your Zoom account and navigate to marketplace.zoom.us

  • Click Manage in the top right corner

  • Click Added Apps on the left sidebar

  • Find Dolphin Parents and click Remove

When removed via Zoom Marketplace, DolphinParents receives an automatic deauthorization notification and immediately invalidates your OAuth tokens. The result is identical to disconnecting from within DolphinParents — no further action is required on your end.
